Prepare equipment data for a clean sales sheet

A stock-number-first workflow makes generated inventory material easier to verify and update.

Make the stock number the anchor

Use one unique stock number per machine and carry it through the CSV, photo filename, PDF, graphic, and inquiry. That reference helps the office connect a buyer’s question to the actual unit rather than a similar machine in an old catalog.

Keep fields consistent and unknowns honest

Use consistent units for capacity and lift height, numeric values for prices and recorded hours, and explicit availability states. Do not invent a specification to fill a blank field. Check the particular machine’s source record and inspection information.

Match photos deliberately

Name files predictably, select the right local files in the browser, and inspect the output. Use authorized photos of the exact unit. Condition details matter more than a decorative graphic that obscures the machine.

Treat exports as dated snapshots

A downloaded PDF does not update when a unit sells. Put the export date and availability note on the catalog, remove or label sold units, and confirm actual availability before making a sales commitment.
